Third Party Service Providers

PlayVS takes your data privacy very seriously. In order to help PlayVS provide, maintain, protect and improve our services, PlayVS shares information with other partners, vendors and trusted organizations (”Third Party Service Providers”) to process it on our behalf in accordance with our instructions, Privacy Policy, and any other appropriate confidentiality, security or other requirements we deem appropriate. These companies will only have access to the information they need to provide the PlayVS service.

You can find information on these Service Providers we work with below, including what data we share with them or they provide to us, the service they provide for PlayVS and links to their respective privacy policies or other documents that govern how they handle the information they process on our behalf.

Like any other organization, we also use “IT” business services or internal tools such as Gmail, Google Drive, Asana, and Slack to operate our organization (“Internal Tools”). These Internal Tool services may incidentally contain personal information (e.g., email address or contact handle) and we apply the Service Provider restrictions described above and have included these in a separate chart below.

PlayVS also requires players to connect the account(s) of the game publisher that corresponds to the esport title in which the player participates. This is so we can link real-life players with their in-game handles. These Game Publisher Partners are included in the table below.

Lastly, PlayVS partners with other esports providers who use the PlayVS platform to operate their competitions in partnership with PlayVS. These partners are able to access player competition and profile data as a coach would for each respective team that they manage within their competition(s). These Competition Partners are included in the table below.

Instead of operating internal servers to store our platform's data (including user data), PlayVS uses cloud storage operated by Amazon Web Services (AWS).

All user personal and competition information, uploaded content, device ID, request data, and all logs are stored on AWS.

Passwords are stored as one-way hashes. All personal information is encrypted at rest

PlayVS uses Elastic APM to monitor and visualize our server performance.

PlayVS sends PlayVS user IDs to ElasticAPM.

PlayVS uses Fivetran to pipe data across our backend infrastructure.

All user’s personal and competition data is shared with Fivetran.

PlayVS uses Fullstory to troubleshoot issues with users by watching session recordings of page views, clicks, and other in-product interactions.

User profile information is shared with Fullstory, including: name, profile image, graduation year, school, gamertags, and competition stats (match/team history, match stats, etc).

PlayVS uses Google Analytics to analyze product usage metrics such as page views, device usage, and browser breakdowns.

PlayVS user IDs are shared with Google Analytics. Google Analytics also receives product usage data like page views and device information like browser and device type.

PlayVS offers Google as a Single Sign On (SSO) method so users can create and log into their PlayVS accounts using their Google account.

PlayVS sends the user’s email address and name to Google if they choose to sign up with a Gmail account.

PlayVS uses Intercom to manage customer support inquiries and chat with customers in real time should they have questions. We also use Intercom to create and manage our library of help articles in our Help Center.

Faculty’s personal contact information is shared with Intercom. Also, student’s PlayVS user ID is shared with Intercom.

PlayVS uses Metabase to query backend product data, including user data, and build internal reports.

All user data is accessible to Metabase, except passwords (which are stored as hashes).

PlayVS uses Mezmo to store data logs of product activity.

Server logs and product event logs at a user-level (e.g. email, name, IP address, device type) are with Mezmo.

PlayVS uses Segment to connect these Third Party Service providers and PlayVS if data needs to move from one service to another.

User personal information is shared with Segment, including: Name, email, PlayVS user ID, graduation year (students), phone number (faculty), and age (faculty). PlayVs also shares the user’s school directory information, billing contact information, and IT contact information with Segment.

PlayVS uses Sendgrid to send platform notification emails, such as reschedule requests, match status updates, and more.

User names, email address(es), PlayVS user IDs, school names, and school logos, are shared with Sendgrid.

PlayVS uses Sentry to monitor our codebase and catch potential bugs.

PlayVS sends PlayVS user IDs to Sentry.

PlayVS allows players to connect their StayPluggedIn (SPIN) account to unlock premium access to SPIN’s esports scholarship services.

PlayVS sends the user’s PlayVS user ID and school ID.

PlayVS uses Twilio to provide chat functionality so players and coaches can communicate with their opponent on match day.

Student and Faculty names, avatars, and PlayVS user IDs are shared with Twilio.

PlayVS allows players and coaches to connect their Twitch accounts to their player or school profile so others can view gameplay highlights, live streams, and match recordings that are hosted on Twitch.

PlayVS does not share any user data with Twitch, but Twitch sends PlayVS the user’s Twitch handle and gameplay streams and highlight videos.

PlayVS uses Typeform to gather feedback from our users on their PlayVS/esports experience.

PlayVS sends PlayVS user IDs, names, email, their school’s state and school ID to Typeform. PlayVS may also request personal contact information from respondents via Typeform, such as their name and email address.

PlayVS uses Wootric to ask for feedback from users on their experience using the PlayVS platform, namely to gather user NPS (Net Promoter Score) ratings and comments.

Student and Faculty names, avatars, and emails are shared with Wootric.

PlayVS allows players and coaches to connect their Youtube accounts to their player or school profile so others can view gameplay highlights, live streams, and match recordings that are hosted on Youtube.

PlayVS does not share any user data with Youtube, but Youtube sends PlayVS the user’s Youtube handle and gameplay highlight videos.

Internal Tools that may have incidental disclosure of personal information

PlayVS uses Asana as a project management tool for our design team to track and communicate their progress on their designs.

Incidental personal information may be sent for designs on the PlayVS App and PlayVS Website.

PlayVS’s design team uses Figma to create and share designs for the web application, marketing website, branding, and more.

While rare, incidental personal information may be included in designs to portray how the app/website will look or behave. Please note that no personal information is published on our app or website without express permission from the referenced individual.

PlayVS’s engineering team uses Github to manage submissions and edits to our platform’s code repository.

While rare, incidental personal information such as PlayVS user ID may be included in pull request comments. For example, if developers are fixing an issue for a specific user.

PlayVS uses Google Workspace to manage employee PlayVS credentials to log into Gmail, Google Drive, and other google services.

PlayVS stores its own emails and files using Google services. PlayVS may share personal information with Google in the course of utilizing Google services, for example, if a user emails employees for support.

PlayVS uses JIRA as a project management tool for our engineering team to track and communicate their progress on platform improvements.

Incidental personal information may be sent for debugging errors on the PlayVS App and PlayVS Website or to satisfy requests from schools for specific data pulls from the PlayVS Services.

PlayVS uses Notion as an internal wiki to share company knowledge internally.

Incidental personal information may be sent to Notion in the course of teammate collaboration within the PlayVS wiki. For example, a teammate may write up a report on user survey results in Notion and embed the responses in the document for reference.

PlayVS uses Slack as our internal chat communication tool for teams to coordinate on company initiatives.

In the course of investigating and resolving bugs and/or support requests, PlayVS teammates collaborate via Slack instant messaging and may incidentally share the email address or PlayVS user IDs of individuals submitting requests and the content of the requests itself (e.g., bug reports, any other help center requests, and data pull requests from teachers and schools).
